Collections
Work A/R aging, follow-up notes, expected dates, and payment plans.
Collections combines live ConnectWise accounts-receivable aging with local follow-up notes, expected dates, statuses, and payment-plan records. Access is restricted to approved users.
Read the Headline
The page summarizes total A/R, past-due balances, balances over 60 days, and the over-60 percentage. Client ranking and risk indicators help prioritize follow-up.
Important basis difference:
- the over-60 percentage uses net totals, including credits;
- ranked client dollars use gross amounts owed, excluding credits.
Use How it works or the page guidance before reconciling those figures as if
they used the same denominator.
Find a Client
- Choose
Past due (31+),Over 60, orAll clients. - Search by client or sales context.
- Expand the client row.
- Review aging buckets and invoice-level balances before changing workflow status.
The live invoice and aging facts come from ConnectWise. Tracker fields shown with them are RevTracker state.
Maintain Follow-Up
For an expanded client, update the applicable workflow fields:
- status;
- last contact date;
- client notes and action items;
- next follow-up date;
- payment-plan summary;
- escalation or resolution information.
Use factual notes. Do not store credentials, payment-card data, or unrelated sensitive information.
Expected Payment Dates
Invoice expected dates and notes belong to the individual invoice. A past expected date is highlighted separately from normal outstanding status. When an invoice pays and leaves open A/R, its saved tracker metadata can remain for workflow history.
Payment Plans
Payment-plan installments are stored locally by client. Add each due amount and date, record receipts when they occur, and mark an installment paid only from verified payment evidence.
Changing a payment-plan row does not post a payment or alter the ConnectWise invoice. ConnectWise remains authoritative for cash application and open balance.
Contact the Sales Rep
Where a sales-rep email is available, the mail action opens a prepared message with the current aging context. Review recipients, amounts, dates, and notes before sending; RevTracker does not send the email automatically.
Export
The Collections export uses the current filtered client list. Before exporting:
- Refresh live A/R.
- Select the intended filter.
- Clear search if the file should include the full selected population.
- Confirm the on-screen client count.
When Numbers Do Not Match
Check the as-of time, open-balance basis, credit treatment, selected client filter, and whether ConnectWise was refreshed. Escalate unexplained source differences instead of changing local tracker notes to force a match.
